Who we are

PI SQUARE AI (registration K2024702954), trading as PI Square, operates this website and is responsible for the personal information described here. Our registered office is Unit 805, Block 68, Fynbos Lifestyle Estate, 282 Tryall Road, Milnerton Rural, Cape Town, Western Cape, 7441, South Africa. This notice covers visitors to our AI consulting website and people who contact us or book a discovery call. What we collect

When you contact us, we receive the information you choose to provide, such as your name, work email, organisation, phone number and enquiry. A booking also includes the appointment time, time zone, answers to booking questions and any cancellation or rescheduling details. A colleague may provide your contact details when arranging a meeting for you. Our hosting and booking providers receive technical information needed to serve and protect the site, such as IP address, browser, device, requested pages and request times. If you enter a topic before booking, it travels in the contact-page URL and is passed to the calendar's notes field when the calendar loads. It may therefore appear in browser history and hosting logs. Please keep it general and do not enter passwords, identity numbers, sensitive personal information or confidential client data. Providing enquiry information is voluntary. Without a name, contact address and selected time, we may be unable to arrange or respond to a booking. Optional background information is not required.

Why we use it

We use your information to respond to enquiries, arrange and manage meetings, understand a proposed engagement and communicate with you about it. We also use relevant technical records to maintain the website, prevent abuse and investigate faults. Depending on the purpose, processing is necessary for steps towards a contract that you request, our legitimate interests in responding to business enquiries and securing our services, or compliance with a legal obligation. Where consent is required, we ask for it separately. Booking a call is not consent to unrelated marketing. We do not sell your personal information. The illustrations and interactive examples on this website do not make automated decisions about you.

Who processes it for us

Vercel hosts and delivers this website. Cal.com provides the booking calendar, processes the information submitted to it and hosts the call through Cal Video. Google Workspace provides our business email and connected calendar, processing correspondence and meeting invitations. Within PI Square, information is shared with the person handling your enquiry or meeting. We may disclose relevant information to professional advisers or authorities where needed to comply with law or establish, exercise or defend legal rights. We limit what we share to the purpose involved. Provider notices explain how those providers handle information for their own services.

Transfers outside South Africa

Our hosting, scheduling and communication providers may process information outside South Africa. Cal.com describes processing in the United States, and providers may use infrastructure and subprocessors in other countries. Your information is not restricted to South African storage. For transfers requiring safeguards under POPIA, we require an applicable lawful basis and adequate protection, including appropriate contractual commitments where used. Booking-related transfers may also be necessary to take steps towards an engagement at your request. These protections do not mean that every destination has the same laws as South Africa. How long we keep it

For an enquiry that does not become a client engagement, we delete the booking record and related correspondence 12 months after the last meaningful contact, unless a legal obligation or an active dispute requires us to keep relevant records longer. If you become a client, the applicable engagement and legal recordkeeping requirements govern the project records. We also request deletion from providers where needed. Limited residual copies may remain in provider backups or security records until their normal expiry. We restrict retained records to the reason they must be kept. You may ask about retention or request earlier deletion; we will explain any reason we cannot fulfil the request.

Your rights

Subject to POPIA and applicable exceptions, you may ask whether we hold your personal information, request access, ask for inaccurate information to be corrected, and request deletion where the law allows. You may object to certain processing and withdraw consent where we rely on it. Withdrawal does not invalidate earlier lawful processing. Email Nikhil Misra at nikhil@pisquare.ai with enough detail to identify your request. We may need to verify your identity before disclosing or changing records. We will explain the process, any lawful fee or refusal, and respond within the applicable legal requirements. You may also complain directly to South Africa's Information Regulator. Its complaints page links to the current submission process; general enquiries can be sent to enquiries@inforegulator.org.za or made on 010 023 5200.

Cookies and browser storage

This website does not use advertising trackers or a website analytics package. It uses local browser storage to remember your motion preference and session storage to avoid repeating an illustration's arrival animation. These values remain in your browser and can be removed through its settings. The embedded Cal.com calendar connects to Cal.com when it comes into view on larger screens, or when you open it on a phone. That connection shares technical information with Cal.com before you submit a booking. Cal.com may use cookies or similar storage to operate and secure its services. Its current policy distinguishes the booking product from tracking used on its separate marketing website. You can email or call us instead of using the calendar. Browser settings may block or clear provider cookies, although that can affect calendar functionality.

Changes to this policy

We will publish changes on this page and update the date above. If a change materially affects how we use information already collected from you, we will take appropriate steps to notify you and obtain any consent required before that new use. Contact us if you need a previous version or an explanation of a change.
